When you contact us

If you message us on WhatsApp, email us or call, we use what you send (your name, contact details and project information) to reply, prepare a proposal and, if you become a client, deliver the work. We do this to take steps you asked for before a contract, and to carry out the contract. We keep enquiries for as long as needed to deal with them; client project records are kept for up to six years after the work ends.

Visit statistics (no cookies)

To see which pages help visitors and how people find us, this website counts visits in totals: the page, how the visit started (for example a search engine, a social network or a link with a campaign tag), the type of device (mobile, tablet or desktop), the date, and clicks on our contact buttons. It also records your approximate town and country: once per visit your browser asks the DB-IP geolocation service (IP Geolocation by DB-IP) for it, which like any website sees your internet address, and only the town and country are sent to us. It sets no cookies, does not build a profile and does not store your IP address (it is used for a moment, as a scrambled value kept for at most one hour, to stop abuse). Your browser keeps a note of how the visit started until you close the tab, so contact clicks can be counted by source. The totals are kept on our own website for up to 400 days and are not shared or used for advertising.

You can stop being counted at any time. If your browser sends a Global Privacy Control or Do Not Track signal, you are not counted.

Google Analytics (only if you agree)

If we turn on Google Analytics, it runs only after you press Accept on the notice at the bottom of the page. It then sets Google Analytics cookies to measure visits. Google Signals and advertising features are switched off. Google LLC processes this data for us; it may be processed in the USA. You can change your choice here:

Quote form

When you press “Submit” in the quote form on our home page, your brief (the details you typed, such as your name, company, email address or phone number, site and project) is emailed to our team and kept on our website, with how your visit started and your approximate town and country, so we can reply. When you press “Send on WhatsApp”, “Send by email” or “Copy brief”, the website also keeps a copy of your brief in the same way. We keep these briefs for up to two years, unless you become a client (see above). To have yours deleted, email info@castlex.uk.

Website assistant

If you use the “Ask CastleX” chat, your messages are sent to the AI service we use to write a reply (currently Groq, Inc., which may process them outside the UK, including in the United States). We keep a copy of the conversation, with the page you were on, the type of device, your approximate town and country (if visit statistics are on) and how your visit started (for example a search engine or a campaign link), for up to 90 days so our team can follow up on your enquiry and improve the answers. It is not used for advertising, and no IP address is stored with it. If you choose to give your name, company, email or phone number in the chat, we note them with the conversation so our team can contact you about your enquiry. Please don’t share sensitive personal information in the chat. To have a conversation deleted, email info@castlex.uk.

What your browser stores

This website sets no cookies of its own; Google Analytics cookies are set only if you press Accept. It keeps a few small notes in your browser’s storage, which stay on your device:

• cx-lang: the language you chose, so the site opens in it next time.
• cx-consent: your Google Analytics choice.
• cx-no-stats: set only if you ask not to be counted.
• cx-src and cx-geo: how your visit started and your approximate town and country, kept only until you close the tab so the visit is counted once.

The fonts on this website are served from our own server, so no font service learns about your visit.

Our legal reasons (lawful bases)

• Answering enquiries, quote briefs and chat messages: taking the steps you ask for before a contract, and our legitimate interest in replying to and following up enquiries about our services.
• Visit statistics and approximate location: our legitimate interest in understanding how the website is used and where enquiries come from, so we can improve it. They use no cookies and you can opt out at any time (see above).
• Google Analytics: your consent, which you can withdraw at any time (see above).
• Client records: carrying out our contract with you and meeting our legal obligations, such as keeping accounting records.

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, or to move it. Email info@castlex.uk. If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office: ico.org.uk.
